A detailed review was undertaken to replace the current University Payment System (UPS) for payments to light-touch self-employed and casual workers to identify the improvements required for a more efficient and user-friendly system for institutions.

We have selected Dashboard as the system to manage the administration of casual workers, completely replacing the current UPS2 payment process.

Dashboard will:

  • Provide more efficient processes for engaging, paying and managing casual workers, reducing the amount of time institutions spend on their administration whilst ensuring compliance.
  • Enable a more strategic approach to planning and managing casual workers.
  • Provide information about work, pay and hours against which to make decisions about our casual workforce.
  • Provide a suite of reports to allow accurate and timely monitoring.
  • Provide a seamless single initial registration for workers (including a single right to work check across the University), automation of timesheets and authorisation.

A three-month trial on Dashboard was undertaken by nine departments in March 2020. The Project team are now working through the Implementation Phase of the rollout of Dashboard. The aim is to launch Dashboard for use by institutions in Michaelmas Term 2022.

Institutions are invited and encouraged to attend a virtual demonstration of the Dashboard system on either of the following dates:

The demonstrations are aimed at Department Administrators. The purpose of the demonstration is to enable institutions to:

  • Understand the benefits using Dashboard to manage our casual workforce
  • Watch a live demonstration of how Dashboard works for workers and administrators
  • Ask questions about the Dashboard system
  • Understand the timelines for launch of Dashboard in 2022

The demonstration will be recorded allowing those who are unavailable to attend either session to see the system and share it with colleagues.  A link to the recording will be uploaded to this page when available.

Please follow the links above to book to attend a demonstration. Institutions are strongly encouraged to attend or watch the recording to ensure that they understand what will be required from them during the implementation phase of the rollout.
