We are asking all staff to log in to Employee Self Service to ensure that the personal information we hold for you is up to date. We do this regularly because we want to ensure we can contact you in an emergency and that our staff information is accurate. We also need to provide information about staff to the Higher Education Statistics Agency (HESA, which now forms part of Jisc) every year. To ensure that this return is as accurate as possible, please check that your details are up to date by 31 August. 

 

How to check and update your details 

  1. Log in to Employee Self Service  
  2. Click on “View profile”. 
  3. Check your contact information and emergency contacts and update as needed. 
  4. Under the heading “Confidential information” click on “Sensitive information” and update as needed.  
  5. Click on the “Employment” tab and under the “Additional employment information” heading click on “View or amend HESA details” and update as needed. 

  

Why we ask you for this information 

We ask you to provide sensitive information, such as ethnic origin, because knowing the composition of our staff helps the University to plan and invest in the required support and enables us to address under-representation in particular roles. It is also useful for initiatives such as the University’s application for an award of the Race Equality Charter. 

We also need to keep records up to date to meet our obligations to HESA and to HM Revenue and Customs. HESA sometimes requires us to make changes to the personal characteristic options you can select. We have recently updated some categories (including disability, ethnic origin and sexual orientation) and added a question about marital status to meet HESA’s requirements. 

 

How this information is used 

All publicly funded universities are required to send information about staff to HESA every year. HESA analyses this information and makes it available to the government departments and agencies that need the data to help them carry out their functions. It is also made available (with appropriate safeguards to protect anonymity) to other users.
