We are asking all staff to log into Employee Self Service to ensure that your personal details are up to date. We are doing this because we want to make sure that the contact details we hold for you are up to date (for example, in case we need to get in touch with you in an emergency) and because we need to ensure that the information we hold on our staff is accurate. We send all staff a reminder to do this every year. Please use the following link: https://www.hr.admin.cam.ac.uk/ess

 

Please click on the “Personal” tab and ensure that your sensitive personal details, addresses, contact details and emergency contact details are up to date. Please also click on the “Employment” tab and ensure that your “HESA details” are up to date.

 

We ask you to provide sensitive information, such as ethnicity, as knowing the composition of our staff helps the University to plan and invest in the required support and enables us to address under-representation in particular roles. It is also useful for initiatives such as the University’s application for an award of the Race Equality Charter. We also need to keep records up to date to meet our obligations to the Higher Education Statistics Agency (HESA) and to HMRC.

 

In common with all publically-funded universities, we are required to send information about our staff to the Higher Education Statistics Agency (HESA) every year. We do not include names in the information sent. The information gained from across the sector is analysed and made available to the government departments and agencies that need the data to help them carry out their functions. It is also made available (with appropriate safeguards to protect anonymity) to other users. We need to make an annual return about our staff to HESA. To ensure that this return is as accurate as possible, please check that your details are up to date before 31 August.
