What is this Policy about?
The Flexible Working Policy sets out the Procedure that staff need to follow to ask to work flexibly. It covers a wide range of different arrangements including:
- Part-time working
- Term-time working
- Job share
- Compressed hours or annual hours
- Staggered hours or flexitime
Informal arrangements around the location of work will generally be managed under the Hybrid Working Policy.
Who is this Policy for?
All University employees.
What do I need to know?
Eligibility
All employees can make a flexible working request from the first day of employment. There are special provisions for Established Officers which are outlined in a Special Ordinance.
Timescale
Employees can make 2 flexible working requests in a 12-month period. Flexible working requests must be considered within 2 months, including any appeal.
Procedure
If you want to make a flexible working request, you should:
- Read the Flexible Working Policy
- Speak informally to your manager or Head of Institution
- Complete the FLEXAF form and submit it to your Head of Institution. This needs to be done at least 2 months before you want a flexible working arrangement to start.
If your flexible working request can be agreed in full, your manager or Head of Institution will confirm this in writing and submit an instruction to HR Shared Services to make this change.
The Flexible Working Policy details the process that applies if your flexible working request cannot be agreed in full, including the right of appeal that applies.

- Flexible working application form (FLEXAF form) to be completed by employees to make a flexible working request.
- Application for Leave from a University Office to Work Flexibly (CHRIS/74) to be completed by Established Officers and submitted to the relevant Faculty Board.
- Change of Hours or Working Pattern (CHRIS/54) to be completed by the manager or Head of Institution and submitted to HR Shared Services.
- Amendment of Post or Appointment (CHRIS/50) to be completed by the manager or Head of Institution and submitted to HR Shared Services.
